With Modular Object Scanning Technology, all the associate has to do is scan the document at the MFP and it will be automatically bates stamped accordingly. Since the documents are individually bate stamped, if one of them needs to be referenced, it can easily be pulled up by looking for the bate stamp number. The bate stamp number also confirms that everyone involved is referring to the correct document.

Client forms and other documentation may need to be distributed to a client or throughout an insurance agency in order to collect handwritten notes or signatures. Since these documents will be returned with the necessary handwriting at a later time or date, it is difficult to ensure that they are being filed the correct client files. With Tag Doc, these documents are tagged with a barcode which is associated with the information on the form - client name, policy number, agent, etc. When the form is scanned after it has been signed, Tag Doc will recognize the barcode and intelligently archive the document with the rest of the client's paperwork. If the document needs to be referenced in the future, searches can be performed using any of the information that was on the form. When finished reviewing and approving, the document will continue to be sent to the next level for further action.

Many manufacturers will photograph items that are being shipped in order to provide customers or insurers with a visual record of the condition and quantity of the shipped items. This could be very hard to manage since multiple photographs could be taken throughout the day, making it difficult to distinguish between them. FabSoft’s SnapDoc simplifies this process by automating the organization and distribution of images taken with a Ricoh 500SE digital camera. With SnapDoc, forms can be printed containing a barcode and information regarding the shipped items - order number, item descriptions, customer name, etc. As the items are being shipped, the worker will scan the barcode and take the needed pictures. When the pictures are uploaded, they are automatically associated with the order information on the form and delivered via fax or email to the home office or customer and archived to the digital archive system. If the images need to be referenced in the future, searches can be performed using any of the order information that was on the form. Additionally, the Ricoh 500SE digital camera has GPS capabilities so the images are stamped with the GPS location. This allows users to view the actual location of the items by using mapping software.
